Job Summary

We are seeking a detail-oriented and organized Construction Project Administrator to support the successful execution of Waste & Wastewater infrastructure projects. This role is critical in ensuring that all administrative functions related to project planning, execution, and closeout are carried out efficiently, in compliance with industry regulations, and aligned with organizational objectives.

Reports to: Project Manager

Key Responsibilities

Project Administration & Coordination:

  • Support project managers and construction teams with administrative tasks throughout all project phases.
  • Prepare, review, and distribute project documentation, including submittals, RFIs (Requests for Information), meeting minutes, change orders, and construction schedules.
  • Maintain project files (digital and hard copy) in accordance with company and regulatory standards.
  • Coordinate with subcontractors, vendors, engineers, and regulatory agencies to track and update project documentation.

Document Control :

  • Manage the flow of construction documents, drawings, and revisions between all stakeholders.
  • Ensure timely submission and receipt of project submittals and ensure proper archiving of all project documents.
  • Track permits, licenses, and compliance documents required for wastewater construction projects

Communication & Reporting :

  • Act as a liaison between the field team, project management, and external stakeholders.
  • Assist in scheduling meetings, preparing agendas, and compiling meeting notes.
  • Prepare and maintain logs and reports such as daily construction reports, cost tracking, and project progress reports.

Financial & Contract Support :

  • Assist with contract administration, including tracking contract deliverables, timelines, and payments.
  • Support the preparation and review of invoices, purchase orders, and budget tracking reports.
  • Help monitor project budgets, ensuring alignment with approved funding and identifying potential cost overruns.

Compliance & Safety :

  • Ensure adherence to all safety and environmental regulations in the wastewater industry.
  • Maintain records of safety inspections, training, and incidents.Support the team in meeting regulatory and client reporting requirements.

Qualifications:

  • Education : Associate’s or Bachelor’s degree in Construction Management, Civil Engineering, Business Administration, or related field preferred.
  • Experience : 2–5 years of construction or project administration experience, preferably in water or wastewater infrastructure projects.
  • Skills :
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in project management software (e.g., Procore, MS Project) and office applications (MS Word, Excel, Outlook).
  • Familiarity with construction drawings, specifications, and terminology.

Certifications : OSHA 10/30 certification (preferred but not required); knowledge of state/local environmental and wastewater regulations a plus.

Work Environment & Physical Demands :

  • May require occasional visits to construction sites and exposure to outdoor conditions.
  • Standard office work with regular use of computers and communication devices
